Copying Citations to Refworks

You can use RefWorks with most library catalogues and research databases. This tutorial covers the ones used most often by AST students, staff, and faculty. If a database is not listed or unsupported, you can still enter the data manually. There are also short online tutorials on how to use RefWorks from within the RefWorks site.

Ebsco databases

1. Search for the item(s) you want.

2. Click Add to folder to mark the record you want to export



3. Click on the Folder in the top right corner of the screen



4. Select which records you want to export and click the Export icon.



5. Select Direct Export to RefWorks and click Save.

Your citations will be automatically copied to RefWorks. It will ask you to login to RefWorks if you have not already done so.

Note: If the screen seems to "jump", your browser is blocking the RefWorks popup. You will have to set up your browse to allow popups, or at least to allow popups from www.refworks.com and refworks.scholarsportal.info.

6. Click "View last imported folder" in Refworks. Your item(s) should be listed.  The items are automatically saved to "All References" but we recommend you move them) to a folder.

Novanet Catalogue

1. Search Novanet for the item you want.

2. Mark the records you want to export.

3. Click on "Email/Save/Export" button.

 

4. Leave e-mail address field blank, select the Record format for Full View, fill in other fields (optional) and click GO.

 

5. Click the green "RefWorks" button to complete the export. It will ask you to login to Refworks if you are not already logged in.

OCLC FirstSearch databases

In FirstSearch databases you can copy either all the records on a results page, all marked records, or just the citation you are currently viewing.

1. Search for the item(s) you want.

2. Click on the Export button. You can select individual citations first by marking the number before it, or click on a title to see the citation and then export it. The default is to export all the records on the results page.

3. Select the records (see 1 below), then choose Refworks and click Export.

Note: Ignore OCLC's note that says "OCLC does not distribute or provide support for the EndNote software or the RefWorks application". This just means that OCLC does not provide technical support for RefWorks. Contact the library or info@refworks.com instead.

4. Your records will be automatically copied to RefWorks. It will ask you to login to RefWorks if you have not already done so.

Unsupported databases

This database is unsupported in RefWorks. You have to add references manually (see below).

To Manually Add a New Reference

1. In RefWorks, select the References menu then select Add New Reference.

Note: while adding a reference you can click on any checkmark to view style specific notes at the bottom of the page. Fields with a checkmark are recommended fields -- your reference entry may not have information for all fields -- and the recommended fields are not required in order to save the record.

 

2. Select your output style. AST uses the The Chicago Manual of Style so choose Chicago 15th Edition (Notes and Bibliography) in the View Fields Used By menu.

3. Choose a folder to save the reference from the In Folder(s) dropdown menu.

4. Under Ref Type, select the reference type you want to add, i.e. journal, electronic journal, whole book, web page, etc.

5. Determine if your reference is for a Print or Electronic source in the Source Type drop-down. The source type tells the output style which fields of data to use in your bibliography.

6. After you select the reference type and source type you want to add, click in each field and type the appropriate data (see below for details about each field).

Some optional fields that may be used to help locate or identify a reference. They are: ISSN/ISBN, Accession Number, Language, Classification, Availability, Author Address/Affiliation, Call Number and Original Foreign Title.

7. When you've finished entering information, click Save to complete your entry, or Save & Add New to add another new reference.
