Using RefWorks Write-N-Cite

Overview

Write-N-Cite is a free RefWorks plugin for Microsoft Word. With it you can add citations and create a bibliographies for your papers.

This is a quick overview of Write-N-Cite for Windows. You can find detailed information instructions including Mac instructions and installation instructions in the Write-N-Cite help files.

The Basics: Starting Write-N-Cite.

These instructions assume you have installed the Write-N-Cite plugin. If not, just download the Write-N-Cite plugin and follow its installation instuctions.

1. Open your paper in Word or create a new Word document and save it.

2. Start Write-N-Cite using toolbar button in Word.

You can also find it in the Tools menu, the desktop or by selecting RefWorks from All Programs. If you launch the program from the desktop icon, it automatically opens a copy of Word.

3. When the login dialog box appears, enter yourRefWorks username and password. Click Login.

Note: the name of the Word document that is active in RefWorks is written next to MS Word Status.

Citing References

AST uses the 15th edition of The Chicago Manual of Style. (online or Z 253 U69 2003 in the Reference Collection). This manual uses both the "author-date" and "humanities style" systems for citations.

  • The humanities style uses a bibliography and footnotes or endnotes to reference citations. Full bibliographic information is provided in a bibliogrphy at the end of your paper.
  • In the author-date system, sources are cited in the text as the author's last name and date of publication in parentheses, for example (Smith 2006, 101-12). Full bibliographic information is provided in a list of references at the end of your paper.

Write-N-Cite can be used for both styles and has settings for the Chicago Manual as as "Chicago 15th Edition (Notes & Bibliography)."  Ask your professor which style use.

Inserting citations: Humanities system.

1. In Word, create a footnote or endnote. (In Word 2002, click on Insert in the menu toolbar, then Reference, Footnote, choose footnotes or endnotes and click on the Insert button).

2. Switch to Write-N-Cite and click the Cite link next to the correct reference.

 

Write-N-cite will insert a code for your reference. This is a code that will convert to a normal citation when you format your bibliography. The placeholder looks like {{20, Doe 2005;}}. It will change it to (Doe 2006) when you create your bibliography.

The bibliography will only contain those items cited in your paper. You can always add other items to your bibliography manually.

To add page numbers click on the citation and click on Edit Citation in the top right hand corner of Write-N-Cite. Instert the page numbers in the Specific Page box. See editing citations below.

Inserting citations: author-date system.

Author-date citations look like this. (Smith 2006, 101–12)

1. In Word, put your cursor where you want the reference inserted.

2. Switch to Write-N-Cite and click the Cite link next to the correct reference.

Write-N-cite will insert a code for your reference. It will convert this to a normal citation when you format bibliography. The placeholder looks like {{78 Doe, John. 2006;}}. It will change it to a footnote such as:

 

The list of references will only contain those items cited in your paper. You can always add other items to your list manually.

To add page numbers click on the citation and click on Edit Citation in the top right hand corner of Write-N-Cite. Instert the page numbers in the Specific Page box. See editing citations below.

3. Then click Edit Citation in the top right of Write-n-cite.

4. Enter the page numbers in the Specific Page window. If you do not have to enter specific pages, click on Edit Citation anyway, otherwise it will not put a full citation in the footnote. Then click on Save to Word button.

 

Creating a bibliography or list of references

1. Click Bibliography to generate the formatted paper.

2. Select the Output Style Chicago 15th Edition (Notes & Bibliography) and select Create Bibliography.

You do not need to select the file since Write-N-Cite is already linked to the current document.

If you use Write-N-Cite III it will add the full citations and bibliography. Older version of Write-N-Cite create a new document with the document name preceded by the word "Final". It will have the full citations and bibliographyat the end of the paper.

Please Note

  • Only the works cited in the paper will be added to your bibliography. You can either change it's heading in Word to References Cited, manually add other references in Word, or create a seperate bibliography in RefWorks.
  • This software is not a substitute for the Chicago Manual of Style.
  • If the data imported to RefWorks has errors or typos in the records, then your citations and bibliography will also have these errors. Be sure to proof read the citations and bibliograhy for errors.
  • A common typo in Write-N-Cite is it puts a space before the colon ":" before subtitles.
  • If you need to make edits to the document using an older version of Write-N-Cite, we advise editing the original document and re-create the formatted document by running the bibliography process again.
